How it works

A sender-control layer for Gmail.

Gmail remains where you read, reply, compose, and search. DeclutrMail groups allowlisted Gmail metadata by sender and helps you make a smaller set of decisions. Manual cleanup changes only the preview you confirm; activated Pro rules are a separate future-mail path.

We never fetch or store message bodies. This list is generated from the Gmail fields DeclutrMail actually stores.

  • Sender name and email address
  • Subject
  • Gmail Preview (the short snippet shown in your inbox list)
  • Received date
  • Gmail labels
  • Read or unread state
  • Whether a message was sent by you
  • Recipient email addresses from To and Cc on mail you sent
  • Unsubscribe links and whether one-click unsubscribe is supported
  • Gmail message size estimate
We never fetch or store:
  • Full message body
  • HTML
  • Attachments
  • Inline images
  • Raw MIME
  • Headers other than From, Subject, To, Cc, and List-Unsubscribe fields

Your inbox does not move.

DeclutrMail is a companion to Gmail, not a replacement email client. The split is deliberate: Gmail handles messages; DeclutrMail handles sender-level cleanup.

One sender decision at a time.

After Gmail is connected, a one-time metadata scan builds the sender index. DeclutrMail reports the current sync stage and progress; duration varies with mailbox size and Gmail’s rate limits. Every plan can review the ranked Senders view; Plus and Pro also turn it into a focused Triage queue.

The verbs, in Gmail terms.

On Plus and Pro, Daily Triage uses four choices: Keep, Archive, Unsubscribe, and Later. Every plan can use the same cleanup verbs from Senders; Delete remains available from Senders and Sender Detail. Keep is not Protect: Keep records a decision; Protect is a separate shield against destructive and bulk actions.

Keep

No existing email moves. DeclutrMail remembers Keep as your decision for this sender. Gmail labels and delivery settings are unchanged. Change this sender decision at any time.

Archive

Matching email currently in Inbox moves out of Inbox and stays in Gmail. Future email is unchanged. Nothing is deleted. The sender is not unsubscribed. Undo from Activity during your plan's Undo window.

A manual Archive applies to the current messages named in the preview. It does not silently become a future-mail rule.

U

Unsubscribe

Existing email stays where it is unless you choose a separate backlog action. DeclutrMail sends a supported one-click request, or opens a prefilled Gmail draft for you to send. Existing email is not moved by Unsubscribe alone. A delivered unsubscribe request cannot be undone. After delivery, the unsubscribe request cannot be recalled.

A delivered one-click unsubscribe cannot be recalled. Existing inbox mail stays put unless you separately choose a backlog action.

L

Later

Matching email currently in Inbox moves to the DeclutrMail/Later label. Future email is unchanged. Nothing is deleted. The sender is not unsubscribed. Undo from Activity during your plan's Undo window.

Later moves the current messages in the preview into DeclutrMail/Later until the chosen sender-level return time. It does not silently create a future rule.

D

Delete

Matching email currently in Inbox moves to Gmail Trash. Future email is unchanged. The sender is not unsubscribed. DeclutrMail Undo is available from Activity during your plan's Undo window. Gmail Trash recovery is separate and is normally available for up to 30 days. Gmail permanently deletes email after its Trash retention period.

Delete is available from Senders and Sender Detail, not the daily Triage toolbar. It moves the previewed mail to Gmail Trash.

Preview before the mailbox changes.

An optional action sheet can collect preferences, but the affected-message preview is mandatory. The interface waits for the relevant boundary: Gmail confirms mailbox mutations, while a sender’s list endpoint returns the one-click unsubscribe outcome.

Gmail confirms label mutations. A sender’s list endpoint reports a one-click unsubscribe outcome. The delivered unsubscribe request cannot be undone; any paired Archive has its own reversible record. Active Pro Autopilot follows the separate rule path below and does not ask for per-message confirmation.

Manual cleanup is not a hidden rule.

A manual Archive, Later, or Delete applies to the current messages named in its preview. It does not quietly decide what happens to future mail. Future automation is a separate Pro feature with its own controls.

A preset starts in Observe, records what it would match, and acts on future matches only after you deliberately switch it to Active. It can be paused again.

Know what Connect Gmail means.

DeclutrMail requests gmail.modify because archiving, labeling, and moving messages to Trash require mailbox changes. It also requests basic identity scopes so the connected account can be identified.

Metadata, not full messages

The Gmail message index is limited to sender, subject, Gmail Preview text, dates, labels, and read/unread state. Full bodies, attachments, inline images, and raw MIME are not fetched or stored.

You can leave cleanly

Revoke Gmail access or disconnect an inbox from the account menu, export your DeclutrMail data, or schedule whole-account deletion from Settings. Disconnect keeps historical DeclutrMail records so reconnecting can restore context; Gmail remains intact.
